Send invoices without leaving TaskTime Pro
The Pro plan lets you email invoices directly to your clients. Click Send Invoice on an eligible invoice, preview the email, and confirm. The PDF gets attached automatically, and your client receives a clean, professional message with the invoice details.
No copy-pasting. No switching between apps. No forgetting to actually send the thing after you generated it.
Customizable email templates
Every freelancer talks to their clients differently. That’s why TaskTime Pro doesn’t lock you into a generic email format.
You can create your own email templates with placeholders that fill in automatically:
{invoiceNumber}— the invoice number{clientName}— your client’s name{amount}and{currency}— the invoice total{dueDate}— when payment is due{businessName}— your business name
A default template is included so you can start sending right away. But if you want to adjust the tone, add payment instructions, or keep things more casual — create as many templates as you need.
Before each send, you get a full preview of the email. Every field — recipient, subject, body, even the attachment filename — is editable for that specific send. Change something last-minute without touching the template itself.
Built-in payment reminders
Late payments are part of freelancing. Chasing them shouldn’t be.
When an invoice is overdue and has already been sent, a Send Reminder button appears. It uses a separate reminder template so the tone can be different from the original send — friendly nudge vs. formal notice, your call.
Reminders work exactly like invoice sends: preview the email, adjust if needed, confirm. No extra setup.
How it works under the hood
If you’re the kind of person who cares about where your data goes (and if you’re using TaskTime Pro, you probably are), here’s what happens:
- The PDF is generated in your browser, just like before
- The email is sent through a secure backend — the same edge service that supports cloud sync authentication
- The backend passes the PDF and message to the email provider (Resend) for delivery
- TaskTime Pro retains minimal delivery and quota records, not an archive of your PDF or message

What you need to get started
Hosted sending requires Pro or its trial and a Google Drive or Dropbox connection. The connection provides a secure session; your selected storage provider does not deliver the email.
Beyond that:
- Your client needs an email address in their contact record
- You need at least one email template (a default one is created for you)
- That’s it
If cloud sync isn’t connected, the app will let you know and point you to the setup. Everything else — generating invoices, exporting PDFs, tracking payments — still works completely offline.
