Multi-Currency Reports for Freelancers: Convert Client Currencies Automatically

Freelancing across countries is normal now. The accounting side is where it gets annoying.

One client pays in USD, another in EUR, another in GBP, and a recurring software expense lands in CHF. Individually, each invoice or expense is easy to understand. Together, they make reports harder to read.

Source currency is the original currency of the record.

Source currencies are important. They reflect what the client saw, what the invoice said, and what the expense actually cost.

But source currencies are not enough for overview reporting. A monthly report that says “USD 2,000 + EUR 1,400 + GBP 900” is accurate, but it does not immediately answer the bigger question: how much did I make in my own reporting currency?

Preferred currency gives you the overview

TaskTime Pro lets you set a preferred currency.

Reports can then show totals in that preferred currency when exchange rates are available. That gives you a cleaner view of:

Source-currency mode is still available

Exchange rates move.

That helps reports reflect the payment context more closely instead of constantly recalculating old paid items with today’s rate.

For unpaid or current reporting totals, live or cached exchange rates can still help estimate the preferred-currency value.

What happens when rates are unavailable

Currency conversion should fail carefully.

If exchange rates are unavailable, TaskTime Pro warns you and falls back to original amounts where needed. That is better than silently showing a total that looks precise but is missing a conversion.

This can happen if:

  • You are offline
  • The rate provider cannot be reached
  • A needed currency is missing from the available rate data
  • Only stale cached rates are available

In those cases, source-currency display is still useful. You can see the original amounts and continue reviewing the report without losing access to your records.

Reports are estimates, not tax advice

Multi-currency reporting is extremely useful for business visibility, but it is still a reporting aid.

Taxes, VAT, exchange-rate rules, and accounting treatment can depend on your country, payment date, invoice date, accounting basis, and local rules. TaskTime Pro gives you organized records and estimated converted totals. It does not replace professional tax or accounting advice.

That is why the source records remain visible and exports stay useful. Your accountant can review the original invoice currencies, dates, totals, and payment details.

A practical monthly workflow

If you work with international clients, try this once a month:

  1. Open Reports.
  2. Choose the month or date range.
  3. Keep currency display set to Preferred currency for the overview.
  4. Review revenue issued, payments received, expenses, and estimated profit.
  5. Switch to Source currencies if a total needs inspection.
  6. Export the monthly CSV pack or PDF if you need records for bookkeeping.

That gives you both views: the business overview in your own currency and the underlying detail in the original currencies.

Why this is better than a spreadsheet

You can do currency conversion in a spreadsheet, but the manual work adds up quickly.

You need to copy invoice totals, copy expense totals, choose exchange rates, remember which date basis you used, and avoid overwriting formulas. Then you need to repeat it next month.
